The Black Barn Event Planning believes that even the smallest details can have immense impact and meaning. We design dream events into reality and create events that are inspired by our clients envisioned wedding day without the stress. As your trusted wedding planner, I assist and take care of organizing the details, handle the logistics, help you stay within budget and provide you with support from beginning to end. I treat every wedding as if it were my own - planned with care and love. As your day approaches, with every box checked, we create and then execute our plan - all while you stay present in the joyous moments!

1. Book your consultation by filling out the form on our contact page and I will get back to you shortly to schedule a chat.

2. Once you've said yes to The Black Barn Event Planning, we will meet to go over your vision, establish your overall investment and discuss dream vendors.

3. We officially start the planning process!

The Process

Pre-Wedding

  • Full Access to HoneyBook client portal 
  • Provide client with 12+ month wedding checklist
  • Provide client with 53 page wedding guide
  • Provide client with Guide for Parents of the Groom
  • Bi-monthly Check in's
  • Unlimited emails
  • 3 phone or virtual pre-wedding touch bases
  • Establish priorities and create your budget projection
  • Create Floorplan
  • Ceremony + reception venue scouting within 1 hour of 
Dayton, OH (up to 3 venues)
  • Set up tours, as needed
  • Attend all vendor meetings, if available
  • Provide vendor recommendations
  • Final Venue site walk through, if venue is within 1 hour of Dayton, OH
  • Contract review for all vendors
  • Guidance with creation and execution of a design scheme
  • Help with creation, selection and ordering of save-the-dates, 
wedding invitations, and all printed materials
  • Assist with creation and selection of wedding favors & accessories
  • Confirm all details with vendors prior to the wedding
  • Coordinate the ceremony rehearsal - 1 hour of rehearsal time
  • Schedule rehearsal dinner
  • Assist in ordering personal items needed for the wedding
  • Assist in selection of “Will you be my bridesmaid and groomsmen” gifts
  • Wedding timeline creation
  • Assist in booking hotel room blocks
  • Coordinate wedding party and guest transportation
  • Advise on menu and beverage selection
  • Advise on event enhancements like lighting, custom rentals, drapery, etc.
  • Schedule salon and spa services

Wedding Day

  • Coordinator on site for fourteen hours
  • Direct and cue the ceremony processional
  • Setup wedding accessories such as guest book, place cards, favors, etc.
  • Direct wedding day timeline to ensure we stay on time with ceremony, dinner, dances, etc.
  • Manage vendor arrival / oversee set up
  • Coordinate with all vendors throughout the wedding
  • Act as the point of contact for all vendors on day of event
  • Distribute final payments & gratuities, as needed, to vendors
  • Have Bridal emergency kit on hand for use
  • Handle any unforeseen hiccups and obstacles
  • Coordinate and oversee setup and tear down for ceremony and reception

As your behind-the-scenes wedding expert, we serve as your constant resource for making your planning process stress-free, enjoyable and memorable. With full service wedding planning, we are with you every step of the way, helping aid your decisions!

Our Partial Planning Package is an ideal option for the couple who may have already completed portions of their planning and require less assistance than a Full Service Package. This package is designed to allow the couple a hands-on role in their planning activities along with our professional assistance to guide them along the way.

This package is perfect for the couple who has a little bit more time to devote to the initial wedding planning demands but wants to ensure they are set up for success and that all the final details will be taken care of. From the moment you bring The I Do Crew on board, you can share any questions or requests with your DOC, who will coordinate directly with our team to ensure everything runs seamlessly.

Hair and Makeup! - Olivia Oaks
You’ll receive a trial session and a personal meeting with your artist to ensure your vision comes to life.

Photography! - JM Weddings Dayton
Our photographers will meet with you three times before the big day—6 months out, 1 month out, and 2 weeks before—to review your timeline and preferences, ensuring they capture every moment just as you imagined.

The I Do Crew

This package consists of a full-service wedding team, offering a Day-of Coordinator, Hair and Makeup Artist, and two Photographers—all working together to ensure your wedding day is seamless and stress-free. Our ‘I Do Crew’ package is designed to take the burden off your shoulders, allowing you to relax and enjoy the moments leading up to your special day. Our goal is simple: to be your Dream Team. Together, we will work to create a stress-free and unforgettable wedding day. Booking this package tackles 3 vendors at once - your photography team, day of coordinator and hair stylist(s), Makeup artists!
       
To simplify the process, I (Sam - The Black Barn Event Planning will serve as your main point of contact throughout the planning journey. I will coordinate all the details, keep in touch to schedule meetings, discuss your vision, and ensure everything comes together perfectly. The photographers and stylist(s) will also reach out as needed to address specific details or provide updates.
